Dubai Real Estate Agency Website with AI Chatbot

what changed

  • Lead to call time down 17%
  • SEO traffic up 21%
  • Agents saved ~12% weekly time

The problem

Manual lead forms and contract drafting slowed agents

Built with

  • Tilda
  • Python
  • OpenAI
  • PDFKit

How does a Dubai real estate agency website qualify leads and draft contracts faster? This case shows one way: lead-to-call time down 17%, SEO traffic up 21%, agents saved ~12% of weekly time. The client is a Dubai brokerage that needed to move faster. PHII Labs rebuilt its website on Tilda and added an AI layer that pre-qualifies buyers in chat and generates PDF contracts automatically.

Context

A Dubai brokerage runs on speed. A lead comes in from a web form or a listing portal, and the first agent to call wins. The catch is that most leads aren't ready to buy — they're browsing, comparing, or asking about a property that's already sold. Agents spend hours calling people who will never convert.

The brokerage came to PHII Labs with a Tilda website that captured leads through a form. The form dropped names and phone numbers into a spreadsheet, and agents called them in order. There was no pre-qualification, no contract automation, and no way to handle leads outside business hours.

Problem

Two bottlenecks held the business back:

  1. Lead quality was invisible. Agents called every lead the same way, whether it was a serious buyer with financing in place or a tourist curious about a penthouse. Time-to-first-call was the only metric, and it was too slow because agents were calling the wrong people
  2. Contract drafting was manual. When a deal closed, an agent spent 30 to 45 minutes typing up a contract in a Word template — buyer details, property details, price, payment schedule, terms. That was dead time that could be automated, and typing it by hand introduced errors that meant re-drafting

How the chatbot and contract generator work

We kept the website on Tilda: the team knew it, the SEO was established, and rebuilding the CMS would have cost time for no gain. We built the AI layer separately in Python and embedded it in the Tilda site as a widget.

The chatbot is an OpenAI-powered agent that talks to every visitor who opens the chat. It asks a fixed set of questions: budget, timeline, financing status, residency status, and the type of property they're after. It then classifies the lead as hot, warm or cold and writes the result to the CRM with the full conversation attached. Hot leads are flagged for an immediate call. Cold leads go into an automated nurture sequence.

For contracts, we built a PDF generation pipeline with PDFKit. When a deal is ready, the agent fills in a short form with the deal terms. The system pulls property data from the listing database and buyer data from the CRM, then generates a formatted PDF contract with every field filled in. The agent reviews it instead of drafting it.

What was built

  • Tilda website: redesigned for conversion, with the chatbot widget on every listing page
  • Chatbot pre-qualification: an OpenAI agent that runs a structured intake conversation, classifies the lead and passes hot leads on for immediate follow-up
  • CRM integration: lead data and conversation history go into the brokerage's CRM automatically
  • PDF contract generator: a Python service using PDFKit that produces a formatted, filled-in contract from deal terms and listing data
  • SEO layer: content and metadata work on the Tilda site to improve organic search visibility for Dubai real estate queries

Results

  • Lead-to-call time down 17%. With pre-qualification, agents stopped calling cold leads first. Hot leads flagged by the chatbot got a call within minutes instead of hours
  • SEO traffic up 21%. The content and metadata work improved organic rankings for the target queries and brought in more leads without paid spend
  • Agents saved ~12% of weekly time. The contract generator removed the drafting step. Agents review generated contracts instead of writing them from scratch, which frees time for prospecting and client calls

Takeaway

In a brokerage, the AI with the most leverage isn't the flashy part. It's the paperwork. A chatbot that pre-qualifies leads is useful, but the contract generator is what agents actually thank you for. It takes 30 minutes of typing out of every deal, removes the errors that come with manual data entry, and gives agents that time back for the work that brings in revenue: talking to clients.
