AI Booking Agents for Clinics and Services

Multi-agent intake with slots, safety checks, admin escalation, reminders and follow-ups

AI Booking Agents for Clinics and Services

what changed

  • No-shows: 35–40% → 13%
  • Reply time: 15 min on average → 2–3 sec
  • Retention up 14%; reviews from ~10% of visits

The problem

New requests waited 15 min on average in working hours and nobody answered at night

Built with

  • WhatsApp
  • LLM agents
  • CRM

This is a booking and lead-intake setup for service businesses: clinics, car rentals and beauty clinics. Replies to new requests went from 15 minutes on average during working hours to 2–3 seconds, and requests are now handled at night too, when nobody answered before. At a beauty salon on this setup, no-shows fell from 35–40% to 13%, retention rose 14% and about 10% of visits now end in a review.

Context

The same pattern fits clinics, car rentals and cosmetology. In each, a new request is a person who wants a slot or a price. They write to the business and wait. If nobody replies, they ask the next place.

These businesses sell a fixed list of services and products. Staff are busy with clients, so WhatsApp gets answered when someone has a free minute.

Problem

  1. Slow replies. The average reply took 15 minutes during working hours
  2. Nights were empty. Nobody answered at all outside working hours, so those requests waited until morning
  3. Follow-up was manual. Reminders, review requests and return visits depended on staff remembering them

What was built

  • Multi-agent lead intake. A network of agents handles each incoming request. It accounts for open time slots and for the set of services and products
  • Safety checks. The agents check for forbidden topics. They say so when they don't know something, and they don't guess
  • Admin escalation. When a case needs a person, the agents notify an admin through a notification channel
  • Night intake. Requests are accepted at any hour. Each one is checked against the CRM and the waitlist
  • Services knowledge base. Quick answers right in WhatsApp. The agent consults only on services that are on the list and described
  • Reminders. A message a day before the visit and another 30 minutes before
  • Review request. A follow-up goes out 3 hours after the visit and asks for a review
  • Targeted follow-ups. Depending on the service, a message goes out two weeks or a month later

For the channel side, see WhatsApp automation. Clinics can also look at AI for dental clinics.

Results

  • Reply time: 15 minutes on average → 2–3 seconds
  • Night requests: unanswered → taken and checked against the CRM and waitlist. They are about 15% of all requests, up to 20% in some weeks
  • No-shows: 35–40% → 13% (beauty salon, after the day-before and 30-minute reminders)
  • Request-to-booking conversion up 7%
  • Retention up 14%, driven by the reminders and targeted follow-ups
  • Reviews: none collected before → about 10% of visits, from the 3-hour follow-up

Takeaway

Speed was the first win, but the agent only helps if it stays inside what the business actually sells. Limiting answers to the described services, flagging what it doesn't know and passing real cases to an admin keeps the replies trustworthy. Our post on bot-to-human handoff covers that design in more detail.
